Guest Post: Raise Your Voices

This post is about one of my first real experiences with gender bias, as a new PI in {life} science.

During my first year of being a new PI, I was invited to participate in a small workshop in my field.  There were only about 80 of us, with most of us being PIs.  It was an intense 4 day meeting alternating between talks and long, open-ended discussions about important issues in our research area.  In many ways, it was fantastic.

However, I quickly noticed something that I found to be a bit concerning.  While the organizers commended themselves for ensuring that almost half of the participants were women, I noticed that women almost never spoke during the extensive questions-and-answers sessions after each talk, nor did they ever participate in the lengthy “open” discussion periods.  As a new PI in my field, still trying to get the lay of the land, I was hyper-aware of what my female role models were doing.  And I was a bit dismayed that even the full professors who were women were not speaking up.

At first, I wondered, “Am I right about this?  Am I just not noticing when women speak?  Is my own unconscious bias coming through by dismissing their contributions?  Or, are women really not speaking?”  So, during the second day, I began to keep count.  I made a tally every time someone spoke up, whether it was a male or female.

By the end of that second day, it was clear.  Less than 10% of the questions or comments were from women, despite the fact that over 40% of the attendees were women.  And several of the few questions from women were from me, the most junior female PI in the room.  (I have always been pushed to ask questions of speakers, by my graduate and post-doctoral mentors, so I try to speak up as much as possible.)

But I was disturbed that women were not being equally represented in the discussions.  One thing that I noticed was that, oftentimes, the men in the room seemed completely unfazed to spout some random off-the-wall idea that potentially made no sense at all, just to get conversation started.  They weren’t concerned that their idea might sound idiotic.  They weren’t concerned that their words might mean that they were incompetent.

In my (limited) experience, WOMEN DO NOT DO THIS.  Women are careful to only state ideas that they perceive to be “important”.  And since women appear to be uncertain whether their ideas actually are important, they rarely speak up at all.  Why is this?

One answer comes from a really interesting article that I read just before I went to this conference.It discussed how transgendered people who have transitioned can provide interesting insights into how men and women are perceived differently.  My favorite quote in the article comes from Joan Roughgarden, a biologist at Stanford who used to be male until late in her career.  She says “men are assumed to be competent until proven otherwise, whereas a woman is assumed to be incompetent until she proves otherwise.”

Unfortunately, I have found this to be the case.  I will admit, I was not nearly as aware of this bias when I was a graduate student at a top tier research university.  In my class of around 30 students, 75% of us were women.  I was not even aware of gender bias when I was a postdoc.  Of course, I had heard of and read about unconscious bias.  But I had not seemed to experience it myself or noticed any impact on my own career.  It was only once I became a PI that I began to notice gender bias in my workplace in any real way.

I have long heard that one way to combat gender bias is to make sure that more people are aware of it, when it occurs, so we can at least pay attention to our unconscious bias and figure out ways to deal with it.  Thus, at the bar at the conference that second evening, after I had discovered that only 10% of the questions were from women, I decided to bring it up among a small circle of friendly colleagues.  It seemed natural to do so.  It was a group of just a few of us, people in my sub-field who have known each other for years, a mix of 1 man and 3 women.  Someone else had brought up the fact that women and men were almost equally represented at the meeting, and “Wasn’t that so great?”  So I then replied, “Yeah, it’s great that the organizers did such a wonderful job.  But you know what’s a little funny?  Women are only asking about 10% of the questions, and they aren’t participating at all in the open discussions.”  The women in my group made no reply.  But the man said, “Are you sure?  That can’t be right.”  And I answered, “No, I am right.  I actually counted today.”  The guy was silent for a moment, looked at me right in the eyes, and said, “Well, then I think that you should spend more time thinking about science and less time counting how many questions are being asked by women.”

I was dumbstruck.  I had asked more questions in that group than any other woman in the room, and his response is that I should be asking even more?  And that it wasn’t possible for me to think about science and tally male/female counts at the same time?  And that he didn’t see that it was an issue that women weren’t speaking up?  And that he didn’t respect the fact that I might see it as an issue, as a new woman to the field?  Two years later, this guy is still a close friend and colleague, a true supporter of me and my career.  But he appears to be clearly unaware of gender bias in the scientific world, and how its insidious nature can undermine the confidence of women scientists.

My own response to my observation has been to continue to do what I can – to speak up when I can – to try to be a role model for other, younger women scientists to speak up and not be afraid.  My students are REQUIRED to ask questions at seminars and meetings.  And I teach them to not be concerned about sounding stupid.  That I prefer them to be perceived as engaged and perhaps naive, rather than silent.  Because if you are silent, you aren’t bringing anything at all to the table.

So, my call to other women scientists is to speak up.  Speak your mind.  Even when you are unsure of your ideas.  Share your questions with others.  Isn’t that what science is about?  Asking questions that we don’t know the answers to?

More recently, now that I’ve been a PI for longer, I’ve become even more comfortable asking questions and speaking up.  At the last meeting that I went to (about 300 attendees), I was again the most visible woman.  I probably asked 2-3 questions each day of the 3 day meeting.  I thought that most of my questions were pretty stupid.  But I asked them anyway, especially when no one else seemed to be interested in doing so.  At the end of the meeting, a huge leader in my field came up to me and told me that he had to meet me and share with me that he was so impressed with my “wonderful questions” and that I had been “more impressive than any junior female PI he has ever seen at a conference before in his 30+ years” of being a PI.

While I was glad that he noticed me and complimented my participation, and I am hopeful that my visibility might be a good model for the many, many young women in the audience that asked no questions at all, I do still find it a rather sad state of affairs that this guy had never seen a junior woman ask multiple questions at conferences before (or, at least, not recall seeing it).  I will note that he (and everyone else that I spoke with) was also incredibly impressed by my grad student who accompanied me, as she asked several questions, as well.  She was the only female graduate student to ask any questions during this meeting.

And while I’m hopeful that other women saw our examples, I also am concerned that most women are still too insecure and uncertain to ask questions themselves.  Or, they simply do not realize just how valuable it can be to be visible.  But one thing I’ve learned is that succeeding in academia (and life, really) requires me to confront my fears head on – to run into them.  I used to be terrified – terrified – of public speaking.  My fight or flight response was on full blast when I asked questions, when I spoke in front of people.  But I forced myself to do it anyway.  When I commended my student after she asked questions by telling her how brave she was, she replied that she was not brave, that rather, she “was terrified.”  I explained that being brave does not mean that you are not afraid.  Being brave means you do something EVEN THOUGH you are afraid.

So, I now make it one of my main goals to talk about my own insecurities, my own fears, and the importance of speaking up and being visible, whenever I have the opportunity to speak with students and postdocs. I am hopeful that the more times women hear it, the more likely there will be change.  And that someday, when I go to a meeting, there will be just as many women asking questions as men.

Networking at Grant Panels

WomanNetworkNetworking is so very important!! I cannot stress this enough. This is true at all levels. At early levels (student), it helps you to establish connections and can even get you a job (see this post). Pretenure, it is essential to get the word out that you exist and are doing things that people should pay attention to. You gotta go to conferences (old post) and network on campus (recent post). When you are senior, lack of travel and often result in lack of recognition, and getting back out there can be essential to re-starting after a long absence due to childcare or other issue (see this awesome post).

When you are a professor, another important place to network is on grant panels. Serving on grant panels is so important for so many reasons:

  1. You get to read grants. Good grants, crap grants, many in between grants. When I read grants, I not only try to evaluate the science, but I also use the time to think about how best to write grants. Of course, you have to get rid of the grants afterward, but you can think and even write down what was good about the writing, the style, the format. All these things matter to writing a great grant that gets funded.
  2. You get to meet other scientists. On grant panels, you spend an intimate 1-4 days with a group of scientists talking about science that can be funded, using your expertise, learning new things you never knew before, and basically interacting. You are also together at meals where you spend time talking about your family, your pets, your house, and all the other lifestyle stuff. Scientists have similar lifestyles no matter if you are from California, Texas, or Michigan. This is the networking. This is the close kind of network that you often only find at very small meetings. Grant panels are the smallest of meetings.
  3. You get to meet program officers. In addition to working with other scientists who may or may not be in your field, you also get to work with the program officers who will presumably have the opportunity to fund your research. You can figure out what types of science they like to find and how they like to interact with scientists. Different program officers like to hear more about motivation or technical stuff or diversity impacts. Plus, if you are already at a funding agency, you might be able to visit other program officers while you are there.

What is a grant panel like? I have a lot more experience serving on NSF panels and foundation proposal review panels, so that is what I will describe. If you have information about NIH, DOD, DOE, or other, please comment here! At NSF you have to come prepared and be early. Most program officers want you to have all your evaluations uploaded over a day early, so they can prioritize the discussion list. Be prepared – it takes over an hour to review a single proposal and write a review, so make sure you start early enough.

At the panel. The program officer will start with a little background or information you need for the panel. Good ones will describe implicit bias and how it is important to be aware of biases, so that you can avoid them.

Reviewing. The panel will begin to review each grant. Some panels prioritize the grants so that the obvious ones (all highly rated or all low rated) are discussed first and taken care of. Sometimes the bottom ones are completely triaged – not discussed at all. Most program officers will try to keep you on track by giving you only 12-15 minutes to discuss the proposal. One person will be the “lead” discussant and describe the strengths and weaknesses of the proposal. The second and possibly third reviewers will describe and additional and not previously described issues. Typically, a third or fourth assigned reviewer will serve as the scribe who will record what is said at the panel to give some inside information about what was said in the room and write up the panel summary that also goes to the proposers.

Serving as a virtual panelist. In a recent panel, I served as a virtual panelist. In this, I used my computer camera to interact with the panel. Frankly, I didn’t like it. It was harder to interact and network with others. I felt like it was also more difficult to be convincing. Most of the other virtual panelists had cameras, but not everyone, so I couldn’t use facial cues to help me be more convincing. Also, I realize that I typically use these meetings for networking – specifically with the women scientists on the panel. I am not sure if I will be a virtual panelist again.

Tenure Tips

USAFbrochureI was recently visiting another school for a seminar (traveling again!). I was chatting about some of the strategies I had when coming up for tenure. I have blogged about this before, but more generally about networking (networking on campus).

Keep your eyes open to the politics of the department and college. Do you know who the senior people (usually men) in your subfield or in related subfields who are well-respected in the department? I am being perfectly frank here: not all full professors are equal. In my department, there are several men who are well-respected and always listened to. There are others who are seen as extremists – they are the Fox News of my department. They make outlandish over-statements, and they are not respected for it. In my department, the measured, considerate people are listened to and have power of persuasion. There are other types of full professors, too. There are some who are too new to be respected because they do not understand the culture or value system of the department. Relatively new senior hires are often like this.

Why am I talking about these types of politics? Because keeping this in mind will help you to determine which people you need to convince of your excellence at tenure time. This sounds very cynical, but I am not implying that you should “kiss up” or somehow play up to these people once you identify them. I am going to suggest that you make damn well sure that those people know what you are doing. The people in your department whose opinions matter most (and there are always some) must know what you are doing and why it is important before they see your packet, before they read the outside letters, before they go in the room to vote, long before the decision is being made. This is not sucking up, but it is being smart and savvy. I am sure you are doing excellent work, but if you department doesn’t realize it, they could make a mistake. If the wrong people know it, or the right people don’t know it, your career might be in jeopardy.

How can you make sure the right people know about your work? Once you have identified the right people to make sure know about your work, you have to go about making sure they know about your work. I am sure there are many methods to do this. Here is what I did. Over the year before putting in my tenure packet, I went to lunch with each of these influential people. At the lunch, I was blunt. I told them that I was coming up for tenure, and I wanted to make sure that they knew exactly what work I have done, the importance of the work. We talked about my science mostly, what papers I had published and which were underway. We also discussed teaching – my evaluation scores and how they got better and my teaching philosophy. For these lunches, I tried to go off campus or to the faculty club so that we wouldn’t be interrupted by others. These influential people actually seemed to be genuinely interested and happy to chat about my tenure packet. They appreciated having the heads up.

Open Letter to Conference Organizers

Conference_de_londresDear Conference Organizers,

I love your conferences! They are in such wonderful locations. Many times I get to escape the cold or wet of my home institution to work on science with others in a warm, exotic or just plain different location. It is wonderful and really helps me to be creative and explore new areas of science that I might not be exposed to otherwise. It is great for my career to see and be seen, to talk to other scientists about not only science, but also management, mentoring, and other career issues.

I have a request, though.

  1. Can you maybe have at least one keynote speaker who is a woman? It really means a lot to me, personally, if one of the keynotes is not a macho, argumentative man, but rather a loud, bossy, argumentative woman. They are role models – still. I am surprised when this doesn’t happen.
  2. Can there be more than one woman in each room? I literally had to give someone the finger to get the point across that I wanted to speak in a session at a recent meeting. It was all in good fun, as I am notoriously PUNK ROCK but the point was clear: let me talk, too! I am still astonished that this continues to happen, and it is not your fault that another participant did this, but it is better when the room isn’t such a “sausage-fest.”
  3. Can we have bath tubs? I know not all women feel this way, so I will not speak for all, but I, personally, really want to have a bathtub. Here are my reasons:
    • I like taking baths. It is relaxing. I sit in there for a while, soaking, reading, unwinding. This is often especially important at meetings when relaxing and unwinding can give you time for your creativity to soar.
    • I like shaving my legs. No use being in an exotic, warm location and not being able to shave your legs. This is mostly a woman-only issue. Sure, I could shave in the shower, but I always miss spots, and I cannot see because I cannot wear my glasses in the shower. I guess I could not shave, but that is not really socially acceptable considering the hairiness level I allow my legs to approach when I am at home and always wearing pants. I suppose I could shave before coming, but I didn’t know there wouldn’t be a bath tub, and I used all my personal shaving time taking care of my children, getting my class ready for while I was away, and packing. I would love the opportunity to shave at the conference.

Overall, these functions are wonderful and fruitful for my career, and despite the drawbacks I listed, I would never stop going, participating, and working at your conferences. They are essential for my career development and maintenance.

Traveling for Work… With Kids

national-lampoons-vacationI have done a lot of traveling in the past 6 months. Most of it has been work travel on my own away from the family. But, we recently took a trip with the entire family for a work thing for a week. Both my husband and I went, so we decided to take the kids. These summer week-long conferences and even longer workshops are essential for your career development. My colleagues who do not go to these things miss out on the networking opportunities and their careers languish as a result. This type of travel is essential. Luckily, many of the conferences and workshops in the summer have an idea that you might bring your kids, and some will even provide resources. HusbandOfScience and I seem to be going to such conferences and workshops every summer since becoming faculty. We typically go for 1-2 weeks at a time. Of course, there are other types of travel you can do with your kids including conferences and even sabbatical! I hope some of my WomenOfScience friends with kids will write posts about going on sabbatical with kids soon!

So, what are some solutions for the troubles and joys of traveling with kids? We have done a number of things – depending on the ages of our kids at the time – when taking our kids to these summer workshops.

Lucky Break: At one of the first summers, HusbandOfScience was participating in the workshop, and my oldest (only 20 months at the time) and I joined him for the last week. We were new at this, so I didn’t set up care in advance. I soon found that I needed more time to work on a grant. We lucked out by having some colleagues who were also at the workshop who had an older daughter who was able to take care of our daughter for a couple hours. It was enough time for me to finish this specific task of finishing the grant.

Family Dependence: Other times both in the summer and winter, we have arranged for a grandma to come with us to the workshop. This involves a lot of extra costs. The plane ticket, the extra costs of meals for an extra adult. We have been lucky to get suites in the past that allowed grandma to have a bed or even a room for herself.

Camps: Now that our kids are older, I have realized that there are a number of summer day camps in many of the areas we go. If you workshop or conference is at a resort or near a resort town, look online for camps. Almost all have camps for kids from 5-12 years of age. Many also have daycare for toddlers and pre-schoolers. This is especially true if you are near a ski resort. In the winter, the camps teach skiing. In the summer, they go hiking, crafts, and other stuff. There are also special art camps, science camps, or rocket camps. I should note that these camps are not really cheap. They can be $50 – 80 per day. But they are full-day and allow you to get work done. They also allow your kids to have new, fun experiences while on vacation.

Online services: Although we have never personally used these for travel, there are a number of online sites to help you find a sitter – even from afar. My friend, SingleWomanOfScience, has a child that travels with her on extended trips. She uses SitterCity.com to find a sitter in the towns she is visiting. The sitter comes to the hotel and watches her child all day while she is at workshops and conferences. She will often take her daughter to dinner – even with colleagues. This is a big production, because it involves interviewing candidate sitters from afar. She interviews 4-5 and picks one. Sometimes, she has to get more than one if she is going to different places, or if the sitter is not available all days.

Renting a Car: Whenever we travel with the whole family, we always rent a car. It also means transporting car seats, which is a huge extra burden to your luggage (see below). The convenience of renting a car is huge. It means we can drive the kids to camps that might be far away. We can also take day trips to sites on days we decide to go sightseeing. It is annoying to have to return it before your flight back, so leave extra time (~30 min) for that.

Luggage Carts: Pay for the luggage cart.  Make your life easier and pay the $5 for the luggage cart. If you are traveling with a family of 4 for a week, you will likely have two large roller bags, two car seats, and maybe a pack-n-play, and stroller. Even though you have wheels on everything, how are you going to hook it all together to drag around? Getting a luggage cart to get you to/from the counter/baggage claim and car is essential.

Extra Kid Stuff: For the airplane, the car ride, the restaurants, it is always good to have a bag of kid stuff for them to play with. I have coloring supplies and paper, toy cars, and an iPad in the arsenal. This instrument will change depending on the age or your children, their interests, and what will sustain their interest for longest. I basically make this pack my purse, and carry it with all my other belongings everywhere we go.

All together, traveling like this is a huge pain in the butt. But, it is so rewarding. You get to expose your kids to new places and experiences. Also, when I travel with my kids, I actually go do and see things that I don’t see or do when I travel alone. I don’t sightsee on my own. I don’t take time away from the conference for fun. My kids allow me the excuse to have fun, and really take advantage of the travel that science makes/allows us. So, we will probably keep going to summer and winter workshops and conference with our kids. Despite the cost and burden, it is the experience and fun of it we can’t resist.

Conference Thoughts

2475011402_bf70c92575_oAs I am sitting in a session at the world’s largest conference in MyFieldOfScience, I am thinking about conferences. I am thinking about how important they are for your career in a lot of ways. For those of you who recently joined the blog (thanks for following!), you may have missed some previous posts about networking. I had one about general networking and another on networking on campus, which are both super important for getting tenure, getting jobs and just good for your career. Conferences are key for networking, being seen, and building your mentoring and scientific connections vertically and horizontally. I have come to the realization that networking is basically “professional flirting.” You can chat about science, but most convos are about family, travel, weather, grants, clothes, students, jobs, or whatever. Academic life has other aspects that we can talk about too. I had a great conversation about teaching and how to teach 400+ effectively with a colleague from another university.

Another thing conferences are great for is energizing your science. When I was young, and I think this is the case for my students, I loved going to conferences because it gave me confidence that people were actually *interested* in my science. I was able to talk about my work, have some people listen, and get validation that what I was doing was of worth. Further, seeing the work of other people that was similar to my own made me feel like I had a community of scientists who were interested in the science. Conferences re-energized me and made me look forward to working on more science and getting my work published.

Now, my science gets energized, but in a different way. Now, I look around and say, “Oh crap, we are more behind than I thought! Everyone is doing the cool experiments I thought of but haven’t gotten off the ground yet!” This is both bad and good. First the bad. It is scary to compete with your science against other groups that are better funded, have more students, and might be ahead on the same ideas you have. Also, I am so so crappy at hiding my science. I cannot keep secrets about the cool stuff we are doing. In some fields, telling people what you are doing helps to mark your territory. In others, it can be giving them the keys to all your best ideas. I have to be careful, but I can’t help but be communicative, open, and excited about our newest stuff. It might hurt me sometimes, but in the long run, I would rather collaborate than compete.

Now the good. Much like when I was young, seeing all the great stuff my colleagues are doing that is similar to my own work can be energizing and maybe even light a fire under your ass to get going. Further, it helps you to focus. If you had an idea to do X experiment and you see it done (probably slightly differently) at a conference, you can refocus your idea to probe the still open questions. Another good thing about people working on similar stuff – it shows your work is hot, important, and in fashion. As in other realms (like fashion) styles change, but if you are hitting hot you have a better chance of getting high profile publications and getting noticed.

Attributes of Scientists: Perseverance

Christabel_PankhurstI am currently at a fantastic meeting for Undergraduate Women of MyFieldOfScience. I was brought across the country for this event, and today I am giving a talk on my research with some background information on myself. I love these events! The undergraduate women, who are uber-underrepresented in MyFieldOfScience, are so excited to be here. Once you group 10-20 schools worth of women together, it is a lot. Women who are isolated or the only woman in their department can connect with their peers. It is wonderful, and I am excited and honored to serve as their mentor for this short time.

Throughout the meeting, there has been a theme that has clearly emerged to me. Several of the speakers and students have described their perseverance within science, or that perseverance is a key attribute they look for in applications to REUs or graduate school. I was thinking about it, and it is really true. Although, sometimes I might call it stubbornness or pigheadedness, and it can backfire in those forms resulting in close-mindedness. But perseverance is a better term and has a slightly different meaning. It reminds me of Madame Curie’s struggle to discover radium (for a funny post on Madame Curie from another Awesome WomanOfScience, go here).

So, here is one story from me about perseverance. It is about how I got to this meeting for undergraduate women in MyFieldOfScience. It is meant to be funny, and just be a silly example of the stuff scientists will put themselves through to fulfill a promise. Enjoy.

This story starts on Wednesday morning. It was like any other Wednesday morning except the baby was sleeping in. I have two kids – elementary age and toddler age – and we still call the toddler the baby, because he will likely always be the baby. Now, the baby doesn’t sleep in. In fact, the baby usually wakes up far before I want. But today, was different, and the brief reprieve of his late slumber was making our morning cyclone a bit calmer.

I almost was worried I would have to wake him, when I heard his lovely WAIL, and I made him a bottle and was bringing it to him. When I turned on the light, I realized he had puked all down the side of this crib as he was standing over the railing crying. This kicked the morning cyclone up a notch to Kansas Tornado that Brought Dorothy to Oz level. One of us was cleaning the baby and stripping him down while the other was stripping the bed and wiping it down.  And now we were worried. What was this puke about? Was he sick with a stomach bug? Or did he just cough too much and make himself throw up? Or did he swallow too much snot, the evidence of which was still sluggishly dripping from his cute little nose, and that upset his tummy. After the ruckus, he asked for a bottle, and kept it down, he had no fever, so we assumed something besides sickness had caused the puke. We took him to school and they admitted him, despite our story of puke. Hooray for our daycare service – they are the best!

Unbeknownst to us, the puke cleaning job was infecting us with a stomach bug that was biding its time to strike. On Thursday night, my husband got hit. He was up all night evacuating his insides. Most of this I had no idea of, because we have both learned to sleep through quite a bit of noise and motion with two kids.  I was set to fly across the country, and felt totally fine. I woke at 4am, showered, and got out the door for a day of flying and uninterrupted writing time (I love that you can work uninterrupted on airplanes – no meetings, no phone calls, just you and your computer).

During my 4 hour layover, it hit me. A nauseating feeling in my stomach. No, I thought, I can’t get sick. I am already traveling. The second flight offered me a much needed afternoon nap in the *most comfortable of positions* with my mouth drying out as it hung slack jawed while my head was jammed against the window. I woke to the upset stomach and started downing the antacids I always carry when I travel – just in case – and getting a ginger ale from the flight attendant. I was able to ignore the stomach ache while working, and got a bit done. I felt like Patrick Dempsey in Outbreak in the airplane scene (They didn’t have an internet picture of Patrick Dempsey with a sickly sheen and coughing, and I didn’t want to buy Outbreak, just so I could screen capture that image, so here he is playing with the monkey infected with the Ebola virus or whatever):

Luckily, I didn’t actually look like him. Nowadays they won’t let you on the plane if you are sick. Anyway, the stomach thing got worse, but I persevered. I went to dinner. I talked to students. I made jokes. I got into a playful argument with a ManOfScience over whether one should clean your own toilets, or pay someone else to do it, provided they have the money. He thought people should clean their own toilets, and I thought you should pay someone to do it, so you could spend more time with your family having fun. I wasn’t as upbeat as I usually am, but I put on a good face.

It all came down after I got back to my room. I slept upright trying not to puke all night. I felt strangely normal around midnight and was able to sleep for 5 hours when I was woken by my intestines bubbling back into my stomach making me queazy and burpy. These are ominous signs. At 7am, I puked. I puked hard. I have puked enough times to know by now that holding your hair is secondary to holding your nose when you puke. No one ever talks about it, but hard puking makes it spray out of your nose cavity, too, and you have to hold your nose to block that passage. (Helpful tips on puking from your local scientist.) I got puke all over my pajamas. It was nasty. I did feel a a lot better after puking up what looked like last night’s dinner and yesterday’s lunch from my layover airport. How does the body do that?

I bagged my puke clothes, showered, got dressed, and prepared for the day. I went to the hotel lobby, and worked with them to figure out how to get my clothes laundered. The hotel is run by students, and they were not sure it was possible, but after some pleading and creative problem solving on my part, they figured it out, so that I would have clean PJs by 7pm. Note to people who don’t yet travel too much:  Hotels can do lots of stuff. You have to ask, but they will often do it. It sometimes comes with a price. I was willing to pay as much as $50 to get this stuff laundered in a hurry. It ended up costing 15 minutes and $3.

Day 2 was much better, although I was still sick. I ate and kept it down. I mingled, I served on a panel about REU programs. I submitted some letters of recommendation and tweaked my talk based on the format others were presenting. I went to dinner. And this is how sickness spreads across the country. It was holding steady in my state and now I have brought it across the country to another state. I try to be good and wash my hands, but I cannot know who I infected. So I apologize, in advance, to the bright, motivated, young Women of MyFieldOfScience that I probably infected on this trip. Yet, I persevered, and you will too.

So, should I have canceled? Should I have turned around at my layover when it was clear where I was heading with this illness? It would have saved some other people a 24-hour bug, but I made a promise to be there, and I want to help mentor this lovely, bright, smart, wonderful generation of Women of Science. The Best Way to get Copies of Funded Grants…and the Worst Way

This one is about the true first step in any writing process – getting examples. For writing manuscripts, getting examples is easy. You just read a lot of published papers and try to emulate their style (especially clear and nice papers). For other types of writing, getting examples can be more difficult, or downright hard. Perhaps one of the most important types of writing we do in academic science is grant writing.  My advice is always to get examples. Today’s guest post is about how to go about getting examples… and how not… Enjoy!

You’re a brand-new assistant professor, or you’re applying to agency to which you’ve never applied for funding. Where to start? Examples of successful applications are some of the best ways to figure out how to structure your application and to tailor your application to a particular agency or foundation. Where to get them?

Start with your formal and informal mentors. Ask them if they have examples of recent successful applications, or unsuccessful applications if they are willing to share them and to discuss why they think they were unsuccessful. Ask your collaborators and departmental colleagues if they have been funded by the organization you are targeting. Ask them if they know anyone else who has. If that fails, or in addition to those opportunities, most organizations post the names of those they have funded. I recommend looking at that list and finding anyone with whom you have a connection—you were both once at the same institution, you have friends or collaborators in common, anything. Then, contact those people one by one, pointing out your common links to help establish a connection. In addition to really recently funded projects, you might also want to target people who were funded a few years ago, especially if you don’t know them well. With such “older” projects, the work is likely to be well underway and the PI is less likely to feel vulnerable sharing their nascent work. When you send that cold email, state clearly and at the beginning why you are writing, point out your connection, and assure them that you understand that you are requesting a confidential document and you will not share it.

If you can’t find anyone with whom you have a connection, just try asking. You can say something like, “I am planning to apply to X organization. I am looking for examples of successful proposals to this organization and noticed that you are funded by them. Congratulations! Would you mind sharing a copy of your funded proposal or even just some sections of it with me? I understand that this is a confidential document and I will not share it with anyone else.” Sometimes what you really want is an example of a specific type of required abstract or section of the proposal, so just ask for that. Most people remember what it is like starting out in their academic careers or applying to a new agency and are willing to help. Most people are also flattered that you’ve noticed their funding success, which will likely make them more willing to respond to your request. However, everyone is busy and inundated with requests, so allow plenty of time and if you don’t hear anything, ask again in a week or two.

Proposals that have been funded by the federal government are available through the Freedom of Information Act (FOIA). This should be the last resort for obtaining a copy of a proposal. Exhaust your other options first, including cold-calling (emailing) multiple people. Just asking people for what you want will almost certainly yield results, and probably much faster than a FOIA request. When you submit a FOIA request, that request along with your name is sent to the PI. Science is a small world and like other professions, much of your professional success will depend on relationships you build with others. If you receive a FOIA request for one of your funded proposals, this will likely bring to mind several questions, like: why didn’t this person just ask me for the proposal? The proposal probably would have been shared and the requester would have received it faster than waiting for the FOIA request to be processed. The proposer might have removed some sections with personal information or work that is still preliminary, but they might at least attempt to do that anyway in responding to the FOIA request. Some personal information is removed automatically by the agency, too. Then one wonders, what is this person’s agenda? If the requester is another faculty member, are they intending to pursue research that I proposed? If the requester were a private individual, corporation, or certain type of foundation, those suspicions about an underlying agenda would have been even deeper. In general, if someone asks me directly for a copy of my proposals, I send the requested information and offer to read a draft of the requester’s own proposal to try to offer feedback. By submitting a request through a third-party, the requester likely misses an opportunity to build his/her professional network.

Back in the Saddle Again

All of us, for some reason or another, have to take a hiatus from traveling, networking, or some of the other parts of our jobs. Coming back can be a challenge. I think many women, especially if they have tenure, take a big reduction in traveling once they have kids. Sometimes it can be difficult to get back in the saddle of long-distance traveling after a long time away. Plus, being away from kids can be sad if it you haven’t been away from them much.

Here is one woman’s story of getting back in the saddle. Enjoy!

I was really divided over whether or not to come to an international meeting, because I didn’t know that many people on the schedule, and honestly I was a little scared. I think everyone thinks I am good at schmoozing, but I had cut down travel so much the last few years that I am out of practice. I haven’t been out of the US/Canada since 2005 — I forgot to bring a European power adapter, felt very stupid and had to buy one at the airport. I was tired and jet-lagged the whole time I was there. I was also feeling really shy — I feel that I look so much rounder in all my business clothes after having kids. I didn’t know that many people at the meeting, and it was mostly really old guard white guys. Many of the participants were from Europe and were used to a more hierarchical academic system, and I forgot that many of those kinds of guys treat me like an infant.

Even worse, I was missing the kids so much that I didn’t feel like talking about science much. I ended up talking about the kids a lot whenever I tried to schmooze.  One of the few people I knew at the conference was a guy of whom I think as a mid-career mover and shaker. I just assumed that he was very well-connected — he’s done well in his career, he’s very friendly and gregarious, he’s gotten some awards, and he’s already on some editorial boards. We ended up eating many meals together, and surprisingly, he told me that he does not like travel much. He usually just goes to society meetings, and has never been to a Gordon Conference. He also told me that he is not good with strangers, and that he was missing his family a lot, also.

So it got me thinking. Maybe not everyone is traveling and schmoozing as much as we imagine they are, while we stay at home turning down invitations and cleaning up baby vomit. And maybe things have changed enough that, once we are done cleaning up baby vomit and are ready to get back in the saddle again, we’ll find that people are more accepting than we think.

Another good thing came from this meeting. I got an invitation to be on an editorial board from the trip, and I think we will have an invited article out of it, also. So it’s been a real positive, even beyond the “international invited talk” on the CV.

My impression is that this WomanOfScience is very brave and good things resulted, so congratulations to her! Any stories of getting back out there? Fears, concerns, or stories of bravery and success? Comment or post.

Applying for Postdocs

Although the Fall is traditional application season, applying for postdocs can occur at any time. Unlike other jobs in academia that have start dates that coincide with semesters, postdoc start dates start when the money and the person coincide. You still have to apply for postdocs.

In my experience from the application side and the hiring side, are that hiring postdocs are extremely flexible and somewhat informal. When I was looking for a postdoc, my husband already had a postdoc offer at FancyIvyLeagueUniversity. We didn’t want to be apart, and were both graduating with our Ph.D.s at the same time. So, I had a targeted place to go for my postdoc. I saw a FancyBigShotProfessor from FancyIvyLeagueUniversity at a conference, and I went up to him and told him that I needed a postdoc at his university. He invited me to give a talk at his group meeting. FancyIvyLeagueUniversity was across the country from UniversityofState where I was getting my Ph.D., so I bought a plane ticket and went up and down the coast giving the talk at a number of places set up by graduate student friends. By the time I gave the talk at FILU, I was very prepared. FancyBigShotProfessor invited two other FancyBigShotProfessors to my talk, and they offered me a position doing a joint project with them. I feel like this was all very fortuitous and lucky. Or was it shameless self-promotion and crazy networking at a conference?

From the other side, as a professor hiring postdoc, I am trying to figure out what I think about when hiring. First, I very carefully read the letters from the recommenders. I often even call the recommenders on the phone and ask very specific questions about what I need from a postdoc at that time. Next, if the application looks good, and the letters and recommenders gave me what I need to know, I will bring the person for an interview. In the interview, the person will give  talk on their research. Can he/she communicate science to a general audience? He/she will meet with me and other faculty members in the group close to my own research. Most importantly, the candidate will meet and possible have a meal with the members of the lab. This is a crucial part of the interview. I need to know if this person will get along with other people in the lab. Can he/she be a mentor to the younger members of the lab?

So, the basic application for a postdoc can be anything from virtually nothing, as in my case when I applied, to a true full-fledged application process, like how I hire postdocs. The full-fledged application involves your complete CV, a cover letter (can be an email), and 2-3 letters of recommendation from people who know your research well from your Ph.D. Some people just ask for the recommenders’ information, so the PI can call or ask for the letters via email.
